There are situations where spending a little bit of money can save you time, but we’ve discovered some tools that help us save both. For example, until about three years ago, the CPA firm that did our tax return was also doing our bookkeeping. It was not only expensive, but we still had to do a lot of the work to make sure they got the receipts and expense reports they needed. Now we use QuickBooks Online, and it’s a breeze. I'm here to tell you to remove your Bowler hat, set down your buggy whip, and take a look at TimeXchange, a Web-based time and expense reporting tool that lives in the cloud, just like Lando Calrissian in Star Wars Episode V. The benefits? TimeXchange lets you input time and expense data for your projects from any browser, and there's even an iPhone app [iTunes link] for on-the-go reporting. There are plenty of apps that let you manually enter your miles or odometer readings -- but that's still a pretty low-tech approach. Free app ProOnGo Expense uses your iPhone's GPS to calculate mileage, then adds the information to your expense report. Now that's what I call automation! Actually, there's still a bit of manual effort involved, as you have to run the app when you start your trip, then run it again after you've arrived. That's how it determines your locations and calculates the distance traveled. Still, I think that beats punching in odometer numbers. And there's a lot more to Expense than just mileage tracking.
